What an Approved Tool Registry Actually Is

An approved tool registry is a documented list of AI tools that your organization has evaluated and authorized for specific use cases. Each entry in the registry defines:

  • The tool — Name, vendor, version, and deployment model
  • Approved use cases — What tasks the tool can be used for
  • Data boundaries — What classification levels of data may be processed
  • Configuration requirements — Settings that must be in place (e.g., opt-out of training data, data residency)
  • Logging requirements — How usage is captured for audit purposes

  • Is accessible to all employees, not just technical staff

Common Mistakes to Avoid

Over-restricting. If your registry has three approved tools and your team needs twelve, you'll have shadow AI within a week. Be realistic about what your team needs.

Under-documenting. "We use ChatGPT" isn't a registry entry. Each tool needs specific configuration requirements and data boundaries.

Static management. AI tools change rapidly. A registry that's reviewed annually is obsolete quarterly. Build in monthly or quarterly review cycles.

Ignoring the user experience. If the approved tools are significantly worse than the prohibited alternatives, compliance will erode. Invest in tools that are both compliant and usable.

Maintaining the Registry

The registry isn't a one-time deliverable. It requires ongoing maintenance:

  • Monthly reviews of tool security postures and terms of service changes
  • Quarterly assessments of new tools and emerging capabilities
  • Incident-triggered reviews when a security event or compliance finding affects a registered tool
  • Annual comprehensive review aligned with your SSP update cycle
